How Clinevo collects, uses, stores and shares your personal data, and the rights you have under UK data protection law.

2. What this policy covers

This policy applies to personal data we collect when you:

  • Visit clinevo.ai or any of its subdomains.
  • Submit the contact form, consultation request form, or any other form on our site.
  • Email, call or otherwise communicate with us.
  • Subscribe to updates or download content from our site.

It does not cover personal data we process on behalf of client practices under a separate data processing agreement. Those arrangements are governed by the relevant client contract.

3. Personal data we collect

Information you give us

  • Contact details: name, email address, phone number.
  • Practice details: practice name, practice type (veterinary, dental, private clinical), role.
  • Free-text information you include in messages or consultation notes.

Information collected automatically

  • Technical data: IP address (truncated), browser type, operating system, approximate location, referring URL.
  • Usage data: pages visited, time on page, interactions. Collected only if you consent to analytics cookies.
  • Cookie preferences stored in your browser's local storage.

We do not knowingly collect patient data, clinical records, or any special category data through this website. Please do not share patient information in contact forms.

4. How we use your data and the legal basis

We process your personal data for the following purposes, under the following legal bases (UK GDPR Article 6):

  • Respond to enquiries, book consultations and deliver services you have requested — legitimate interests; performance of a contract where relevant.
  • Send follow-up emails related to your enquiry — legitimate interests in following up a business conversation you initiated.
  • Measure and improve the site (anonymous analytics) — consent.
  • Comply with legal obligations (e.g. accounting, tax, regulatory requests) — legal obligation.
  • Protect our business, rights and users (e.g. security, fraud prevention) — legitimate interests.

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.

5. Who we share your data with

We share personal data only with organisations that help us run the business, and only to the extent required. Current categories of processor include:

  • Website and form hosting: infrastructure providers operating our site and receiving form submissions.
  • Email and calendar: the email service we use to correspond with you.
  • Analytics: Google Analytics 4 (operated by Google Ireland Ltd), with IP anonymisation and ad-personalisation signals disabled. Runs only after you consent.
  • Professional advisers: accountants, lawyers and auditors bound by confidentiality.

We do not sell your personal data. We do not share it with third parties for their own marketing purposes.

6. International transfers

Some of our processors are based outside the United Kingdom, including in the European Economic Area and the United States. Where personal data is transferred outside the UK, we rely on one of the following safeguards:

  • A UK adequacy decision for the destination country.
  • The UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses.
  • Another lawful transfer mechanism under UK GDPR.

7. How long we keep your data

  • Enquiry and consultation data: up to 24 months after last contact, unless a contractual relationship is formed.
  • Contract and accounting records: 7 years after the end of the contract (UK tax and company law).
  • Cookie consent record: up to 13 months, then re-requested.
  • Analytics data: up to 14 months at provider level.

We periodically review and securely delete data we no longer need.

8. Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you (right of access).
  • Ask us to correct inaccurate data (right to rectification).
  • Ask us to delete your data (right to erasure), subject to our legal obligations.
  • Object to or restrict our processing.
  • Ask us to transfer your data to another provider (right to portability).
  • Withdraw consent at any time, where consent is the legal basis (for example, analytics cookies — use the Cookie settings link in the footer).

You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

9. Security

We use appropriate technical and organisational measures to protect personal data. These include HTTPS on all pages, access controls, encryption in transit, reputable processors, and internal policies on data handling. No method of transmission over the internet is 100% secure, but we take the protection of your data seriously.

We use a small number of cookies and similar technologies. See our Cookie Policy for detail, and use the Cookie settings link in the footer to change your preferences at any time.

11. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top reflects the most recent change. If the update is material, we will make a reasonable effort to notify you — for example, by re-prompting for cookie consent or emailing known contacts.
